  • Attend mandatory pre-bid site inspections to evaluate physical access constraints, site logistics, safety requirements, and local site conditions.
  • Document project risks, contractual penalty clauses, and required bonding or insurance minimums before commencing final cost calculations.

2.2 Quantity Takeoff & Material Estimation (25% of Time)

  • Perform digital quantity takeoffs from electronic blueprint files using [ESTIMATING_SOFTWARE] and standard industry measurement formulas.
  • Tabulate square footage, linear dimensions, volumetric measures, and item counts for raw materials, finished components, and consumable supplies.
  • Calculate material scrap factors, delivery freight charges, storage logistics, and waste percentages into total base costs.
  • Verify unit-level price lists against current wholesale supplier schedules and index adjustments.

2.3 Vendor & Subcontractor Solicitation (20% of Time)

  • Compile and distribute tailored Request for Proposal (RFP) packages to qualified trade subcontractors and material suppliers.
  • Track quotation receipt deadlines to ensure adequate subcontractor pricing coverage across all required trade disciplines.
  • Evaluate subcontractor bid submissions against design drawings to confirm complete scope compliance and eliminate duplicate or missing line items.
  • Negotiate pricing terms, bulk material discounts, delivery timelines, and payment schedules with key vendor partners.

2.4 Cost Compilation & Tender Submission (20% of Time)

  • Build bottom-up project cost estimates combining labour hours, crew compositions, equipment rental rates, material takeoffs, and trade subcontractor quotes.
  • Apply project-specific overhead allocations, contingency reserves, and target gross margin thresholds set by [OWNER_OR_MANAGER].
  • Populate mandatory client bid forms, unit price schedules, cost breakdowns, and statutory compliance declarations.
  • Submit finalized tender packages to [OWNER_OR_MANAGER] for review and sign-off before official client delivery deadlines.

2.5 Post-Award Handover & Budget Tracking (10% of Time)

  • Conduct structured project handover briefings with project managers and site superintendents upon bid award.
  • Transfer working estimate sheets into the company job costing ledger within [PAYROLL_SYSTEM] or [HRIS_NAME].
  • Highlight specific margin assumptions, negotiated vendor commitments, and major schedule risks to the operational delivery team.
  • Review interim job costing reports against initial estimates during project execution to identify variance patterns.

2.6 Estimating Database & Cost Library Maintenance (10% of Time)

  • Maintain and update internal unit cost databases, standard assembly rates, and equipment operating indices in [ESTIMATING_SOFTWARE].
  • Track historical cost performance from completed projects to refine future estimating productivity factors and labour benchmarks.
  • Monitor regional price trends for core commodities, local trade labour rates, and municipal permit fees across [PROVINCE].
  • Maintain active records of subcontractor performance ratings, safety compliance standings, and reliability scores.
