Privacy policy

Staffkin is operated by Waypoint, a business based in Kentville, Nova Scotia, Canada ("we"). This policy explains what we collect, why, and your choices. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Two kinds of information
Account information about the employers who use Staffkin: name, email, company name, province, billing details and how the service is used. We are responsible for this information.
Hiring information that employers put into Staffkin about candidates and referees: names, contact details, prescreen answers, interview notes, scores, reference answers and onboarding steps. The employer decides what to collect and is responsible for it. We process it on the employer's behalf, only to provide the service.
How we use information
- To run Staffkin: store your jobs and candidates, send the emails you ask us to send, build PDFs, and take payment.
- To keep the service secure and fix problems.
- To contact you about your account. We don't sell personal information and we don't use hiring information for advertising.
AI features
When you use AI drafting, the job details you type (title, duties, must-haves and skill areas) are sent to Anthropic to write questions. Candidate and referee information is never sent to the AI.
Where information is stored
Hiring and account data is stored in Canada. Some service providers we use may process information outside Canada, mainly in the United States:
- Supabase: database and login (data stored in Canada)
- Netlify: website hosting
- Resend: sending email
- Stripe: payments
- Anthropic: AI drafting (job details only)
- Google Fonts: website fonts
Candidates and referees
If you answered a prescreen or gave a reference through Staffkin, the employer who contacted you controls that information. Contact them to see, correct or delete it. You can also contact us and we'll pass your request on. Reference checks only start after the candidate gives consent in writing.
How long we keep information
Employers can delete candidates, jobs and their account data at any time. Deleted records are removed from the live database right away and from backups within 30 days. Billing records are kept as long as tax law requires.
Security
Information is encrypted in transit. Access to each company's data is restricted to that company's users. Links sent to candidates and referees are long, random and expire.
Cookies
The app stores your login session in your browser. We don't use advertising cookies.
Your rights
You can ask to see, correct or delete your personal information by emailing hello@waypointns.ca. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
