About Staffkin

Staffkin is a simple applicant tracking system for Canadian businesses with 1 to 50 people: job descriptions, prescreens, interview guides with 1 to 5 scoring, reference checks with candidate consent, and onboarding checklists. AI only drafts and rewrites questions; it never scores, ranks or decides. Data is stored in Canada.

Who it's for

Canadian businesses with 1 to 50 people, where the owner or a manager does the hiring alongside their real job. Restaurants, shops, trades, clinics, offices and care homes often hire a few people a year without an HR department. Staffkin gives them one place for each hire instead of a notebook, an inbox and a pile of printouts.

What it does

• Keeps one folder per job: the job description, prescreen, interview guide, candidates, scores, references and onboarding.
• Starts each guide from a library of 357 interview questions, each with a follow-up and a 1 to 5 scoring guide. You can edit every question.
• Emails candidates a prescreen and referees a reference form by private link. Nobody needs an account.
• Asks the candidate for consent before any referee is contacted.
• Lines up interview scores side by side, so you compare candidates on the same questions.
• Gives you a Canadian onboarding checklist with the right provincial TD1 form.

The Free plan covers one open job and five candidates per job. Paid plans are $19, $49 and $99 a month in Canadian dollars, and a one-off reference check is $9. See pricing.

How Staffkin uses AI

AI in Staffkin drafts and rewrites interview and prescreen questions from the job details you type. It never sees candidates' answers or referees' comments, and it never scores, ranks, screens out or picks anyone. Your interviewers enter every score and make every decision. Hollis is our AI HR agent for the rest of HR. It tracks deadlines such as probation ends and certification expiries, drafts letters for the employee's province, and puts every draft in an approval queue. It never sends anything on its own. Staffkin is made by Vatsal Thakkar at Waypoint Software, a small software business in Kentville, Nova Scotia.

Where your data lives

Jobs, candidates, scores and references are stored in a Canadian data centre. Email, payments and AI drafting use outside providers, which may process some data outside Canada. The privacy policy lists each one and what it receives.
